Templates for Payment Instructions emails sent upon registration

Please read PayPal Pitfalls before accepting payments via PayPal. While the following scripts include instructions for accepting payments via PayPal, just delete that section should you decide against using PayPal.

The following instructions are based on the combined experience of many experienced organizers, and we recommend that you use them as is, but if you wish, you may write your payment instructions any way you want to satisfying your needs, your personality, and your event.

HomeschoolRecess will send Payment Instructions automatically and immediately upon registration, but if you're accepting registrations via email or a Yahoo Database, you'll need to send them to each registrant manually. You may prefer to send individual instructions to each person or send a single email to multiple registrants.


Payment Instructions for use with Email or Yahoo Database Registrations

Thank you for registering for [NAME OF EVENT]!

Please mail your payment today.

The payment deadline is [DATE]. If I don't receive payment by the deadline,
your family may be removed from the registration list. You will be notified 
with an email should this unfortunate
event occur.


You will be emailed a payment confirmation when I receive your payment.
If the payment deadline is approaching, and you've sent your payment but
haven't received a payment confirmation, please contact me.

--- To pay by check, please include a note with your name, number of people 
registered, and the name of the event or just a print out of the first page 
of this email.

Please make your check payable to [YOUR NAME] and mail it to:

PAYPAL INSTRUCTIONS
* PAY VIA PAYPAL:

WARNING: If you have any difficulty following the instructions below, please
just send a check instead.
* While I am willing to allow you to reimburse me via PayPal, I do need to 
be fully reimbursed for the cost of your family's participation. 
* You are responsible for ensuring that I receive the full amount owed for 
your family's tickets. My family cannot afford to cover any part of your 
family's ticket costs out of our own household budget. 
* By choosing to send your family's payment via PayPal, you agree to fully 
reimburse me for any and all fees deducted by PayPal should I not receive 
the full amount due.
* Your registration will remain unconfirmed until I have received full 
reimbursement for the cost of your family's participation.
* Your registration will be cancelled if I have not received full 
reimbursement by the deadline date.
* Should that unfortunate event occur, you will be notified via email of 
your registration cancellation, and I will send you a separate PayPal 
transfer for ONLY the amount that I received as I am unable to recover all 
of PayPal's fees when I issue a refund. 
* If you have any questions about this process, please take a look at 
www.hsadventures.org/organizing/paypal first and then ask me to clarify 
anything that is still unclear 
* Please don't put me in an awkward situation! If you have any difficulty 
following the instructions below, please send a check instead.

1. Login to your PayPal account at https://www.paypal.com/
2. Click on the "Pay and Send Money" button
3. Choose "Send money to friends and family"

STOP: If you select "Pay for goods or services," then I will not receive 
the full amount due! Please read the warning above before proceeding.

4. Enter [ORGANIZER'S EMAIL ADDRESS] in the "Email or mobile number" field.
5. For the Amount field enter the total amount due 
6. Click on Next

7. To help me credit payments correctly, at the bottom of the next page, 
under "Add a note (optional)" field please include your name, number of 
people registered, and the name of the event
8. Click on Send.

Please be aware that PayPal may charge you a fee if you pay for the 
transaction using a credit card instead of your bank account or a PayPal 
balance.

Reimbursement Instructions for use on HomeschoolRecess

The default instructions on HomeschoolRecess include instructions for payment by check only.

If you wish to accept payment via PayPal or Amazon Payments, you'll need to enter instructions in the "Private Payment instructions" field when you set up your event.

Payment instructions are automatically sent from admin(at)homeschoolrecess.com immediately after someone registers for an event.

the field trip number (see REGISTRATION DETAILS above for both).
8. Click on Send.

Please be aware that PayPal may charge you a fee if you pay for the 
transaction using a credit card instead of your bank account or a PayPal 
balance.

Acknowledgement request

If you are using the acknowledgement step, insert the following text into your payment instructions as indicated:

Your registration is currently unconfirmed. To confirm your registration, 
please acknowledge that you received these payment instructions by 
replying to this email within the next 72 hours. Please quote this 
entire email in your reply to ensure I will receive enough information to 
identify you in the registration database.

You may skip this acknowledgement step if you instead send your payment 
today. I must receive either your payment or your acknowledgement within 3 
days or your registration may be cancelled on the assumption that I am 
unable to communicate with you via email. You will be notified with an email 
should this unfortunate event occur.
